# Tap + Chase: paper pilot plan

**Working brief:** Abdulla Al Ghurair Foundation campus challenge for students, launching 2 November 2026 for a two-week pilot. Participants use printed materials only. Twenty numbered bilingual cards are placed around an approved university campus. The three milestones are 5 cards in two hours, 12 cards in one day, and 20 cards over the pilot. Cards can be found in any order.

This plan supersedes the older smartphone and QR proposal in this folder. The existing preview also uses older 5/10-card rules. Neither should be used as the final event brief without revision.

## 1. Decide the rules before artwork

Use one participant hunt sheet for all three milestones. Staff write the participant's start date and time on it. After verifying a card's location or unique proof word, staff stamp its numbered box **green for a correct answer** or **red for an incorrect answer**. Use stamps labelled `CORRECT` and `TRY AGAIN` as well as the two colours, so the result remains clear in black-and-white copies and for anyone who has difficulty distinguishing colours. The card counts toward a milestone when it has a green mark. A participant may revisit a card and retry a red answer; the green mark is then added beside the red mark. Staff never stamp the same number twice in the same colour.

Proposed time rule: the two-hour milestone is measured from the recorded start time; the one-day milestone ends at the close of that day's staffed booth hours; the 20-card milestone ends at the agreed pilot closing time. Participants can continue collecting cards after reaching a milestone. Confirm whether these are recognition levels or separate prizes, and whether the two-hour and one-day targets require 5 and 12 *green* marks within their windows. Confirm exactly when the two-week pilot closes; 2–15 November is fourteen calendar days, while the second Friday is 13 November.

For timed milestones, use **arrival at the booth** as the finish time, not the later moment when a volunteer finishes marking answers. A volunteer writes and initials the arrival time on the hunt sheet or a numbered paper queue slip as soon as the participant joins the line. Cards presented at that arrival count only if their answers are correct during that visit; a later retry uses the later arrival time. All volunteers use the same booth clock. This prevents a queue from unfairly pushing someone past the two-hour or one-day deadline. State this rule on the participant sheet and in the staff briefing.

The quiz master must stay with staff. Because it repeats the card text, giving the complete 20-question sheet to participants before they search would reveal the content of every card. Staff can show or hand over the question for a reported card number only after checking the card's location or proof word. The participant writes the answer on a numbered answer slip or staff record it on a response log. The twenty-question master still contains the exact approved English and Arabic card paragraphs, followed by one question per card and a separate answer key.

## 2. Print deliverables

| Item | Format and content | Owner / approval |
| --- | --- | --- |
| How-to-play poster | A3, illustrated campus/treasure-map concept; clear start/find/answer/stamp flow; reminder to leave cards in place; 5/12/20 milestones; green/red meaning and retry; booth location and hours; dates; prize/certificate wording if approved | Design; Foundation and university approve |
| Recruitment poster | A3 master with A4 version; short headline and call to action for students; uses the same graphic system | Design; Foundation approves |
| Participant map | Easy-to-read bird's-eye campus map with large horizontal landmark names, clear entrances, booth, north arrow and a short orientation key; **no hidden-card positions** | University validates geography and routes |
| Foundation location map | Same uncluttered base map, marked with all 20 numbered card positions, installation notes and staff-only label | University and event lead approve; restricted distribution |
| Participant hunt sheet | Name, surname, email, participant number, start date/time, 20 large numbered stamp boxes, 5/12/20 milestone guides, simple instructions, return-to-booth note and privacy notice | Foundation approves data fields and wording |
| Discovery cards | One reusable A6 layout, numbered 01–20; each carries a unique approved English paragraph and its matched Arabic paragraph, with a small location proof word if adopted | Foundation approves content; Arabic reviewer approves translation |
| Quiz master | 20 numbered entries repeating the final card text *exactly*, each with one question; bilingual if the game is bilingual | Foundation and Arabic reviewer approve |
| Answer key and response slips | Staff-only accepted answers, proof words/locations, retry rule; small numbered slips or a response log | Event lead approves |
| Paper participant register | One row per sheet number, with start time, booth arrival times, verified red/green card numbers and milestone sign-off; stored behind the booth | Foundation event lead approves |
| Operations pack | Volunteer briefing, daily location check, stock list, incident/contact sheet, participant tally and closeout checklist | Foundation event lead approves |

Produce one controlled source file for the 20 passages. Generate the card copy and quiz copy from that source so spelling, punctuation and Arabic stay identical. Keep the answer key and location map separate from participant materials.

## 3. Visual direction

Use the supplied installation photos as *style reference*: generous white/cream space, a dark plum foundation colour, energetic magenta/orange/yellow accents, and a few teal/green details. Use angled paths, triangles and map markers as a restrained graphic language. Give the map a distinctive illustrated field-guide treatment while keeping the campus relationships, entrances and building names easy to scan at actual print size. Its start–explore–return strip should explain the paper journey without implying a fixed card route. Give the posters a strong headline and a clear first action; keep rules short enough to read at a distance. Keep the participant sheet calmer and more functional, with stamp boxes large enough for a real stamp and writing space. Preserve the Foundation's approved logo artwork, colour values and clear-space rules when provided; do not trace a logo from the photos.

Set English and Arabic in legible type with correct right-to-left layout. Test both languages at actual A6 size; if two full paragraphs are too dense on one face, put English on one side and Arabic on the other, with the number visible on both. Use a consistent number and icon system across posters, maps, cards, quiz and stamps. Do not rely on colour alone to convey green/red outcomes.

## 4. Production sequence and dates

| When | Work and review gate |
| --- | --- |
| 21–22 Oct | Confirm campus, booth hours, event close, audience and milestone rules. Obtain official logo/brand files, campus plan, approved content owner, printer specifications and site permissions. Walk the campus with university staff; shortlist 20 safe, accessible positions. |
| 23–25 Oct | Build the visual system and two map drafts. Draft 20 short facts/reflections, English and Arabic, plus one answerable question per card. Review proof words and placement difficulty across the 5/12/20 targets. |
| 26–27 Oct | Foundation reviews rules, copy and design; university verifies map, booth and all card positions. Arabic reviewer checks meaning and layout. Freeze the 20-item content source and answer key. |
| 28–29 Oct | Prepare print-ready files. Print one full-size proof of each item, including both sides of an A6 card. Test legibility, stamp-box fit, green/red marks, folding/handling and a mock participant run. Apply proof corrections and obtain final sign-off. |
| 30 Oct–1 Nov | Print and pack materials; number and weather-protect cards; brief volunteers; install only in approved places; perform a full route walk and count every card. Reserve replacement copies. |
| From 2 Nov | Open the booth, issue numbered sheets/maps, verify finds and answers, record milestones, inspect locations daily, replenish stock and collect daily counts. Close at the approved time, remove all cards and reconcile paper records. |

This is a tight print schedule. The content, Arabic translation, map and site approvals are the critical path. If the printer's deadline is earlier, freeze artwork accordingly.

## 5. Volunteer and staff briefing outline

1. **Purpose and 60-second explanation:** who the Foundation is, how students join, how the 5/12/20 milestones work, and that cards can be found in any order.
2. **Start a participant:** explain the privacy notice, assign a participant number, write start date/time, issue map and hunt sheet, show booth return point.
3. **Verify a find:** check the reported card number and proof word/location against the staff map, show only that card's quiz question, compare the answer with the key, apply numbered red and/or green marks, record any retry.
4. **Award milestones:** check distinct green numbers and timing, initial the milestone area, give the approved recognition, and explain how to continue.
5. **Answer common questions:** lost sheets, illegible answers, duplicate cards, language choice, accessibility, card missing/damaged, and what to do if the booth is closed.
6. **Daily opening and closing:** count forms/stamps, check all 20 cards, log damage or relocation, secure participant records and the staff map, reconcile participation totals, hand over to the next shift.
7. **Escalation:** named event lead, university site contact, safety incident route and who may authorise a card move or answer-key change.

Run a 15-minute practice session: one new player, one correct answer, one wrong answer with retry, one missing card and one milestone claim. Give every volunteer a one-page desk checklist alongside the full briefing.

### Practical additions for live operation

- **Number every participant sheet.** Record its number in a staff-held paper register, along with start time and verified card results. This helps detect duplicate claims, reconcile counts and replace a lost sheet from staff records. If a sheet is replaced, mark the old number void and note the new number; do not rely on a participant's memory of previous stamps.
- **Separate the queue from the quiz.** At busy times, one volunteer registers arrivals and time-stamps returning players while another checks answers and stamps sheets. Let participants answer several verified card questions on one numbered response slip; staff can check them together. Rehearse a short rush of participants before launch to see whether the booth needs another volunteer.
- **Write an exception rule.** If a card is missing, damaged or inaccessible, staff record the incident, replace it in an approved location and use an identical booth copy for anyone affected. Log any move on the Foundation map, brief every shift and keep the old location from being treated as an extra card.
- **Make the case study possible.** If the Foundation wants photos or named stories from the pilot, prepare a separate, optional paper photo/story permission form. Keep it separate from the email field and game entry.
- **Test the student poster with the target group.** Ask three students to read it at normal viewing distance and explain how to start, what green/red mean and whether they can continue after a milestone. Simplify any point they cannot answer without staff help.
- **Consider an Arabic companion poster.** The cards are bilingual. If the host campus expects both languages on wayfinding, prepare a matching Arabic poster after a fluent reviewer approves the wording; avoid shrinking the English poster text to fit both languages on one sheet.

## 6. Missing inputs and practical additions

- **Campus identity:** the older proposal names Abu Dhabi, while the current map preview names Zayed University Dubai. Confirm the actual host campus before map production.
- **Approved content:** twenty card paragraphs, Arabic translations, twenty questions and accepted answers need a named Foundation approver. Placeholder copy must never reach print.
- **Proof of finding:** agree whether participants report the location or a unique word printed only on the physical card. This is needed because the quiz master repeats the card text.
- **Eligibility and rewards:** the working audience is students. Confirm any participation criteria, whether milestones are completion targets or prize categories, the tie-break rule if competitive, and certificate/prize copy. Add the confirmed reward or recognition to the posters so students know what they are working towards.
- **Dates and hours:** confirm booth opening hours, last registration, last answer time and precise pilot end. Decide how after-hours finds are verified.
- **Data handling:** agree the purpose of collecting email, participant notice, optional marketing opt-in if any, who stores completed sheets, who can view them and when they are destroyed. Keep the Foundation's copy of the staff map and answer key secure.
- **University permissions:** approve every placement, mounting method, accessibility and weather protection; identify replacement locations and a removal owner.
- **Print quantities and kit:** estimate participant sheets/maps, posters, 20 installed A6 cards plus spares, quiz response slips, green/red numbered stamps or ink, clipboards, pens, storage folders and a locked container for completed forms.
- **Booth capacity:** estimate peak arrivals and return visits so the event lead can schedule registration and validation coverage. Confirm the booth clock and paper queue-slip method before printing the rules.
- **Evaluation:** add a short optional paper feedback question and a daily tally for starts, valid finds, 5/12/20 milestones, repeat visits and operational issues. This creates a usable pilot case study without screens.

## 7. Acceptance check before launch

One person can understand the advert, find the booth, receive materials and start without a phone. On an actual-size print, three students can locate the main entrance, Academic Building, Library and Foundation booth quickly; the map does not expose the 20 card positions. Each installed card and staff-map number match. All 20 passages match the quiz master exactly in both languages. A staff member can verify a find, mark red or green, handle a retry, record a queue arrival time and judge each milestone consistently. A lost sheet can be replaced from the paper register, and a missing card has an agreed substitute. Printed text is readable at real size and every stamp fits its box. All card locations are safe, accessible, approved and removable.
